Document Control Specialist

The Document Control Specialist safeguards the processes that create these outstanding products by collaboratively controlling Company process documents while ensuring their accuracy, quality, and integrity.

Tasks, Duties and Responsibilities:

  • Manage document initiation and change control across all systems.
  • Maintain the Document Control Master List.
  • Make current versions of all documentation available at the point of use.
  • Assist in Development of Standard Operating Procedures for internal use.
  • Manage and retain all versions of finished product specifications.
  • Manage and retain all versions of finished product labels.
  • Assist in review of all Marketing labels and blogs from a technical standpoint.
  • Manage Business to Business document requests with Sales team.
  • Assist in third-party Organic, FDA, Kosher, and GMP audits.
  • Request and distribute timely external documentation to internal stakeholders.
  • Manage documentation for change control, material reviews, complaints, investigations, CAPA program, labeling, new product development documentation, out of specification disposition, and finished product specifications.
  • Monitor and promote compliance, accuracy, and completion of documentation.
  • Assist Quality with internal training and support for document management processes and associated systems.
  • Record data, track errors, and assist with reporting departmental metrics.
  • Prepare, proofread, and edit reports and presentations.
  • Perform other duties as assigned.

and Education:

  • A Bachelor’s degree in business administration, library management, or record management is preferred.
  • Two years of experience in document management, archive management, or records management.

Physical Requirement:

This role requires sitting, walking, or standing for several hours at a time. This role requires the ability to life up to 15 pounds, open cabinets, bend, or stand on a stool as needed. This role must properly wear and utilize Personal Protective Equipment including gloves, face masks, lab coats, scrubs, eye protection and hearing protection as needed.
